Get started

Choose Explore Demo on the welcome screen to browse fictional records without an account. The demo is read-only; choose Exit Demo to return to sign-in.

For your own records, sign in with Apple or create an email account and complete its confirmation instructions. Create a company or accept an invitation shared by an owner or administrator. Settings → Companies lets you switch companies after closing editors. Each teammate uses their own account.

Authenticators

Owners and administrators set up an authenticator before opening company records. Settings → Account → Security & Authenticators shows a QR code or manual setup key, verifies a six-digit code, and lets you add a backup authenticator. Other users who enroll must also verify when signing in. Account & Security is also available from the company chooser.

If you lose a device, select another enrolled authenticator. If none is available, contact support for identity-verified recovery; a company administrator cannot directly reset Auth factors. A password reset does not remove the authenticator requirement. Do not send setup keys or codes to support.

Sync and offline access

Open Settings → Workspace Sync Status to see connection state or choose Sync Now. Existing downloaded records remain readable offline; changes require a connection and are not queued for later submission.

If a save response is interrupted, MedERP reconciles the original operation so retrying does not duplicate it. If another user changed the record you were editing, preserve your draft details and review the current record before retrying. Company replacement waits until editors are closed.

For Sign In Required, sign in again or ask an administrator to check company membership. For Recovery Required, keep existing backups and contact support with the exact message. Do not delete the app as a first troubleshooting step.

Negative stock

You can post a sale even when it takes stock below zero. The posting warning shows the expected shortage. Overview lists negative-stock items, including archived ones; open an item to inspect its stock journal and identify missing receipts, incorrect sales, or count corrections. Physical stock counts cannot be negative. A document's transaction date and time determine its position in stock history; changing them recalculates the affected history.

Products, partners, and files

Use Settings → Data Exchange for CSV templates and product/partner imports. Product updates preserve posted inventory history. Barcode scanning processes camera frames on-device; enter a barcode manually if camera access is unavailable.

Owners and administrators can export business-record backups from Settings → Backup. Attachment files are separate and must be saved independently. Mac automatic backups require a writable selected folder or mounted network folder. Re-select an unavailable destination or export a manual backup while resolving access. Backup packages and CSV exports are not encrypted; keep them in an appropriate location.

Document attachments and editing indicators

Document details include Attachments for PDF, PNG, JPEG and HEIC files up to 20 MB. Choose Add PDF or Image, open the uploaded file to preview it, or save/share a downloaded copy. Removed files appear under Removed and can be restored by operational roles. Viewers can read files. Company membership and current document access are checked on each download.

Attachment files are separate from business backups. Save required originals independently. Restoring the same document in its original company reconnects its retained attachments; restoring into a different company does not transfer them. Company deletion removes access, with physical file retention handled by the hosting operator.

Editors show other teammates currently editing the same document. The indicator is advisory and may be unavailable offline. You can continue working; save conflicts and negative-stock warnings retain their existing behavior.

Team access

Owners and administrators can invite staff or viewers by verified email. Only the owner can assign administrators or transfer ownership. Create an invitation in Team & Access and share the link yourself; MedERP does not send invitation emails. Links expire after seven days and can be used once by the intended account.

Staff can perform operational work. Viewers can read records and use ordinary exports. Removing a member stops future server access but cannot recall exported copies or immediately erase an offline device.

Restore, rollback, and deletion

Only the owner can restore, roll back, replace demo data, or delete a company. Restore replaces the selected company's records for all members, preserves its identity/membership, and does not affect other companies. Close editors first. The previous recovery generation can be rolled back; keep independent backups as well.

Settings → Account → Delete Account is available inside a company, or open Account & Security from the company chooser when you have no company. Verify an authenticator and transfer or delete owned companies before deleting your account. Company deletion is an owner action. Shared business history in other companies remains. Removing the app from a device does not remove hosted data or exports.

If your account uses Apple, Continue with Apple confirms deletion and revokes its authorization. If that cannot complete, choose Unable to Verify with Apple to delete the MedERP account and then remove MedERP under Apple Account → Sign in with Apple. Account settings remain accessible even after your last company is deleted.
